Pico Duarte Ultra is an endurance race whose registration lived across a form, a bank transfer, a separate waiver, and a spreadsheet. Xagonoft redesigned the public website and built a registration and administration platform behind it.

The challenge

Runner registration was spread across a Google Form, bank-transfer payments, separate terms and waiver documents, and administrative tracking kept by hand.

None of those pieces spoke to each other. Before every event, the organizing team had to reconcile runner information, payments, terms acceptance, race assignments, and participant communication across several disconnected tools.

What Xagonoft built

Xagonoft redesigned the responsive public website and developed a dedicated registration application behind it, built as a custom Laravel application.

A runner registers for a race, completes the required information, accepts the terms, completes the configured payment process, receives an assigned runner number, and obtains a registration QR code — as one continuous flow rather than four separate errands.

Administrators work from a dashboard: reviewing registrations, identifying which payments are still pending, sending reminders, assigning runner numbers, moving participants between races they are eligible for, and opening or closing registration for each race.

Operational impact

Registration became a single experience for the runner and a single operational view for the organizers, instead of a form in one place and a payment in another.

The platform reduced the dependency on disconnected forms and hand-kept tracking, and it leaves the team a reusable foundation for the next edition of the race rather than a setup that has to be assembled again each year.
